About this policy

This policy describes the processing of information by Equature’s Webex call recording integration, including the app made available through Webex App Hub. The integration captures Webex calls and temporarily routes call data through Equature’s internal infrastructure to the customer’s Equature recording system for long-term storage.

This policy applies to that integration. It does not describe other Equature products or replace your organization’s own privacy notices, recording policies, or service agreements.

Information processed

The integration handles the following information in connection with the call recording workflow:

  • Call audio: the content of captured Webex calls, which may include personal information spoken during a call.
  • Call details: caller and callee information, timestamps, and associated call information provided with the recording.
  • Webex authorization tokens: credentials used to authorize the integration’s connection to Webex.

Call content and call details can identify individuals. Review the permissions presented for your organization’s integration with your administrator before enabling it.

How information is used

The integration processes call audio and related call details to capture and route calls to the customer’s Equature recording system. Authorization tokens support the authorized Webex connection needed for the integration.

The recording workflow connects Webex, Equature’s internal routing infrastructure, and the customer’s Equature recording system. The customer’s system receives recordings for long-term storage and use within the customer’s recording workflow.

Routing and storage

Temporary processing by Equature

Call data passes temporarily through Equature’s internal infrastructure as part of delivery to the customer’s recording system. This infrastructure serves the routing stage of the integration; the customer’s Equature recording system is the destination for long-term storage.

This policy does not specify a fixed temporary retention period or promise immediate deletion after delivery. Contact Equature for details about temporary data retention and deletion, including the handling of authorization tokens, for your deployment.

Long-term recording storage

Recordings delivered to the customer’s Equature recording system are stored there for the customer’s long-term recording needs. Ask your organization’s recording-system administrator about the retention period, access settings, and deletion process that apply to those recordings.

Your organization’s controls

Your organization should review which calls are recorded, who may access recordings, and how recordings are retained and used. It should also provide any notices and obtain any permissions required for its recording activities.

If you are a caller or an employee whose information may have been recorded, your organization or the organization that recorded the call is the starting point for questions about the recording and its use. Equature can assist with questions about the integration’s processing.

Privacy requests and disconnection

To request access to, a copy of, correction of, or deletion of information processed through this integration, contact your organization’s administrator or Equature at support@equature.com. Include your organization’s name, a way to contact you, and a description of your request. Please do not email call recordings, authorization tokens, passwords, or sensitive call content.

For a request to disconnect the integration or revoke its Webex authorization, work with your Webex administrator and Equature support. Ask support to confirm the disconnection and review any remaining temporary data or authorization credentials.

Disconnection and deletion are separate actions. Do not assume that disconnecting the app deletes recordings already delivered to your organization’s recording system. Requests concerning those recordings should also be directed to the administrator of that system.

Webex services

Webex is provided by Cisco. Cisco’s handling of information within its own services is governed by its applicable privacy notices and your organization’s agreements with Cisco. This policy describes Equature’s integration and does not replace those notices or agreements.
